Reunion Committee Meeting Minutes

  2. Welcome
    1. The meeting was called to order by John Quinn at 6:30 PM at NAU, Presidents Conference Room in Rapid City.

  3. Minutes
    1. The minutes of the 29 March 2011 meeting were read and approved. Minutes will be emailed to all and posted on the RCHS web site.

  4. Treasurers Report
    1. Balance on hand was reported as $ 3038.75.

  5. Committee Reports
    1. Web site – The web site managed by Ron Laughlin continues to be active and classmates are encouraged to send updated pictures, etc. to Ron at cobblers@rchs61.org so they can be posted to the web site. www.rchs61.org
    2. Reunion Place – Canyon Lake Resort and Rushmore Plaza Holiday Inn
      1. Karen reported that all arrangements have been confirmed at the Canyon Lake Resort for Friday night and with the Rushmore Plaza Holiday Inn for Saturday.

    3. Hospitality Committee – The committee indicated that they would man the tables for registration at the Canyon Lake Resort starting Friday afternoon. Registration packets will be available as well as mugs and patches to be sold. The registration table will be set up Saturday at the Holiday Inn in the hospitality room where mugs and patches will be available. It was noted that the Black Hills Bad Lands and Lakes Association will print name tags for free. Marlis will follow up on this and Tracy will furnish attendee names in Excel format for printing.
    4. Decorations Committee – Sandra McCambridge was present and is working on the decorations. Several classmates brought items that can be used for decorations. Sandra will need some help on Friday and Saturday putting up decorations.
    5. Booklet – Les Davis – Tracy Davis was present and showed the committee several sample pages of the booklet. They were well done and looked very professional. Tracy has only received 18 articles and pictures at the time of the meeting. Tracy asked classmates to get their information in soon so it can be included in the booklet.
    6. Registration/Correspondence
      1. Information from Linda indicated that she had received some registrations but that they were slow coming in.
      2. The committee discussed at length extending the registration deadline until 1 August 2011. They agreed to extend the registration and booklet information deadline until 1 August but reminded classmates to get their registration in as soon as possible so the committee has numbers of attendees for planning purposes. It was noted that the deadline cannot be further extended as there will not be time for the booklet printing or time for final arrangements with Canyon Lake Resort and the Holiday Inn.

    7. Activities
      1. Golf – Chairman – Les Davis – Les indicated that golfers could pay the 2nd half ($20.00) of their greens fees at the course on Saturday morning.
      2. Hike Buzzards Roost –Chairman – Tim Raben - No charge, still meet at Baken Park on Saturday morning.
      3. Bus trip to Hill City – Chairman – John Quinn – John indicated that everything is a go and that classmates signed up for the trip could pay their remaining ($20.00) Friday night at registration.
      4. Van trip to Deadwood – Chairman – Mike Gustafson - Earl indicated that there is no charge for the van ride to Deadwood but Gus needed the numbers as soon as possible to see how many vans are needed.
      5. Memorabilia Table at Holiday Inn in the hospitality Room – Co-chairmen –Phyllis Stevens and Janell McKinstry Table will be set up Saturday morning and classmates can browse memorabilia anytime during the day. Classmates that have memorabilia that they would like to display are asked to mark them carefully so they can be returned and bring them as soon as possible on Saturday morning.
      6. Remembrance Time – Optional get together at Canyon Lake Shelter on Sunday morning.

    8. Miscellaneous –
      1. The committee encouraged classmates to send in their articles and picture soon for the booklet even if they cannot come to the reunion. Orders and payment for booklets can also be indicated on the registration form and they will be sent to you.

  6. Next Meeting –
    1. The next meeting is scheduled for Tuesday 26 July 2011 at 6:30 PM at the NAU Presidents Conference Room in Rapid City. Also the last committee meeting will be a wrap up of final details on Tuesday 6 September at NAU.
