Reunion Committee Meeting Minutes

  2. Welcome
  3. A. The meeting was called to order by John Quinn at 6:30 PM at NAU, Presidents Conference Room in Rapid City.

  4. Minutes
    1.  

    2. The minutes of the 12 January and 26 January 2010 meetings were read and approved. Minutes will be emailed to all and posted on the RCHS web site.

     

  5. Treasurers Report
    1. Linda Laughlin reported that the balance on hand was $ 2141.11. Linda paid the $250 deposit to the Canyon Lake Resort for the mixer.

     

  6. Committee Reports

    2. Web site – The web site managed by Ron Laughlin continues to be active and classmates are encouraged to send updated pictures, etc. to Ron at cobblers@rchs61.org so they can be posted to the web site. www.rchs61.org Ron was encouraged to submit the bill to the treasurer for the web site fees.

    4. Reunion Date – The dates for the 50th year reunion are Friday, Saturday and Sunday the 9th, 10th and 11th of September 2011.

    6. Reunion Place
      1. As noted in the 26 January minutes the place for the reunion has been solidified by Karen Raben and Julie Ward. We will be at the Canyon Lake Resort for the Friday Mixer and The Rushmore Plaza Holiday Inn for the banquet and dance on Saturday night. The fees were outlined in the 26 January minutes and Linda has paid the $ 250 deposit for the mixer. No deposit was required for the Holiday Inn.
      2. The Montana Room has been secured for a hospitality room at the Holiday Inn and the Ball Room rented with a cash bar available as well as the dance floor. John Quinn has agreed to be the MC again and will work on a program for that night.
      3. A deejay, Brain Fisher has been contracted for the evening for $ 400 to $ 500 depending on the length of the dance.
      4. A block of rooms have been reserved at the Holiday Inn at a rate of $ 114 per room. To get this special rate one must call the Holiday Inn; reservations can be made up to 1 year in advance beginning 9 September, 2010. Reservations can be made by calling Black Hills Central Reservations at 1-866-727-4324 and mention the class of "61" reunion, however this will not result in the special rate.
      5. Hospitality Committee – Possibly decorations, name tags, etc. Details to be discussed at the next meeting.
      6. Registration fee – Set at $ 80.00 each to include the mixer and the banquet/dance but does not include payment for the booklet (price to be determined) or other incidentals.

       

    7. Booklet – As was determined at an earlier meeting, Les Davis daughter Tracy Davis has agreed to assist the committee with the publishing of the 2010 edition. Les indicated that he would like to see a similar format as last time with a before and current picture with a limit of 50 words or less on the page. Details of where to send pictures and information will be determined. Roger Lauer was asked to check with Copy County on printing costs for the booklet and report back in June.

    9. Registration/Correspondence
      1. Toni has added two to her committee, Darlene (Gerstein) Tuohy and Susan Milstead. Toni has emailed a list of missing classmates that can be reviewed on the web site and email either Toni at purrfectcats@hotmail.com or Ron Laughlin at cobblers@rchs61.org with any information you have. Les Davis indicated that he would help with the data base of names and addresses.
      2. The committee discussed sending the post card as in past years and Roger Lauer will look into prices for printing the card and postage. Tentatively the card would be sent out about a year out, September 2010.
      3. The committee discussed the registration form and Roger Lauer was to get information on printing and postage for the form also. The time frame to send the registration form would be some time during the 1st quarter 2011, about 6 months out from September 2011.

       

    10. Activities
      1. Les Davis indicated that it was too early to start looking at golf courses but noted that he would be looking at Red Rocks and Hart Ranch as possibilities.
      2. Many other possible activities were discussed including hiking, sightseeing tours, Deadwood trip, Hill City Wineries, etc. The committee indicated that these ideas as well as others including input from out of town classmates would be discussed further at the June meeting. Committees can be formed to work on the specific activity. Tim Raben has volunteered to coordinate a hike to Buzzards Roost.

       

    11. Miscellaneous –
      1. Earl had drafted a possible logo for the 50th and it has been posted on the web site. A couple of modifications were made to the original logo. Earl indicated that he was looking into possible use of the logo on a patch (iron on or sew on), a coffee mug or a beer mug as well as other uses for the logo.
      2. The committee indicated that there should be a memorial type remembrance some time during the reunion. Format, etc. to be determined.
      3. The committee indicated that we should try and contact our class counselors, Jerry Tracy and Marge (Larson) Reeder and invite them to the reunion. A committee member indicated that he had seen Jerry Tracy and that he had his 80th birthday recently.
      4. A tentative schedule of events will be drafted and submitted to the committee at the 15 June meeting.

     

  7. Next Meeting – The next meeting is scheduled for Tuesday 15 June at 6:30 PM at the NAU Presidents Conference Room in Rapid City. Any and all classmates are encouraged to attend or email comments or input to Duke or Ron.
